When we request a quote from a supplier, we will of course always do this for a product or service. Of course we want to know what the price of the suppliers charges for the product, but also under what conditions the supplier can deliver it.
Now, during the creation process of the quotation request, products, services and purchase conditions of the quotation request can be defined in VendorLink.
Navigate to Contracts > RFx.
Start RFx
Click 'Add' to start the process. A screen appears in which you must enter a name for the quote request. You can adjust this afterwards.
After you have added the RFx you will be directed to the detail screen of the RFx.
Fill in RFx details
A description can be included in the Details tab that describes the request for quotation.
Setting | Explanation |
RFx name | Name of the quotation. Is used in the system for recognition and is entered when creating the RFx. |
Signal user | User who is kept informed of changes to the RFx. When a supplier responds to the RFx, this user is notified. |
Description | Further description of the quote request. This is displayed in the Supplier Portal to the invited suppliers |
Add documents to your RFx
Documents can be added to the request for quotation. Per document it can be determined whether this is visible to the invited supplier. You can therefore add documents to the RFx that are only visible within your own organization. After uploading your document, you can click on your document to add a description.
Use these documents for example to share the procedure information or to share detailed specifications or products.
Work together in TEAMs
Determining what exactly must be asked is a combination of different people. VendorLink TEAM is super suitable for this.
When creating the RFx, a TEAM is automatically created. Members (users in VendorLink or just e-mail addresses) can be added to this. Messages and documents can easily be shared with each other via this TEAM functionality. With every message all team members receive an email with the content of the message, the shared documents and a link to the RFx. When team members answer the e-mail, the message is stored at the RFx and the documents are immediately available.
