This page contains some essential functions for Contract Management. All functions are described in the tables below.

Contract Sourcing active |
Enabling Contract Sourcing activates the 'RFQ' (Request For Quotation) tab in Contract Management. With RFQ it is possible to request documentation from suppliers. Contract Sourcing is only possible if the VendorLink environment contains Supplier Portal and Contract Management. |
Contract Workflow active | This feature activates the 'Contract Signing' tab in Vendorlink under Contracts > Contracts > Select Contract > Details. |
Create task for contract | This function ensures that a task is automatically created when a contract notification is triggered. |
Create contracts in concept | This function ensures that a contract is always created as a draft first. Concept contracts have their own tab in Contracts > Contracts, and are only visible by the creator of the contract until the contract has been activated via the 'Activate contract' button in the contract details. |
Contract template mandatory | This function ensures that a user is obliged to select a contract template when creating a contract. |
Contract Template Authorization | When this function is checked, contracts can be authorized based on contract templates. |
Documents available in Supplier Portal | This function allows you to share contract documents with the supplier via the Supplier Portal. Only documents with 'Share in Supplier Portal' checked will be shared. |
Activate edit function for Contract Managers | When the functionality 'Activate edit function for Contract Managers' is activated, only users with the roles 'Contract Management Viewer' and 'Contract Management register' can only edit contracts where they are registered as contract manager. The user role 'Contract Manager' must also be linked to their account. |
Contract Manager required when adding a contract | When this functionality is activated, users are required to select a contract manager when creating a contract. |
When this functionality is activated, the field 'Deletion date' for contracts will be filled at the time of archiving, based on the fields 'Retention period quantity' and 'Retention period period' in the contract. If these are empty, the fields 'Default retention period number' and 'Default retention period period' will be used. If those fields are also empty, the delete date will remain empty. VendorLink does not automatically delete contracts with an expired retention period. | |

E-Signature | If you want to use E-Signing, you can determine the variant here. We currently offer VendorLink E-Signing and DocuSign, or a combination thereof. DocuSign can only be used if it has been set up by us. |
When this setting is activated, E-Signing requests can be canceled without entering a signature. |
E-mail templates
Here you can set up email templates. These email templates can be used when you want to send an email from Contracts. If e-mail templates are available for the e-mail you're sending, you will see a 'E-mail templates' button near your text editor.
Visibility tabs in contract details
When you activate the visibility of a tab, this tab becomes visible in every contract. If visibility is unchecked, the tab is hidden in each contract.
