In this overview you see all workflow sets within this VendorLink environment. The overview shows basic information about existing workflows. All these columns are explained in the table below.
Workflow | Explanation |
Audit workflow | This type of workflow is used during the assessment of an audit in the Vendor Rating module. |
Contract workflow | This type of workflow is used during the approval of a contract in the Contracts module. |
Supplier Data workflow | This type of workflow is used during the approval or rejection of a new supplier supplied in the Vendors module. |
Risk Assessment | This type of workflow is used during the approval or rejection of a Risk Assessment in the Vendor Rating module. |
RFQ | This type of workflow is used during the assessment of an RFQ in the Contracts module. |
Setting up a workflow
You can set up a workflow in a number of steps which are described below.
Adding steps
After you have created a workflow, you will enter the workflow details. Here you see an overview of the workflow steps that are included in this workflow.
When setting up a step, you determine a number of settings:
Setting | Explanation |
Step name | The name of the workflow step, this will be shown to all workflow users. |
Active at start? |
This setting determines whether this step is active at the start of the workflow. This means that users linked to this step can approve or reject right at the start of the workflow. |
Is end of process? | This setting determines whether this step is the last step of the workflow. You indicate whether after this step the workflow has been completed and, if approved, the action is carried out (for example, processing audit data) |
Sort order | Give a sort order number to all your workflow steps to determine in which order the workflow steps are shown to the workflow users. |
Setting up your workflow steps
Once you've opened a step, you can link users to the step under the 'Users in step' section. You can also indicate per user whether it is mandatory that a user approves or rejects the step before the workflow continues to the next step.
In addition, under the 'Actions' section, you can determine which options the users have when approving this step. Per action you have the following settings:
Setting | Explanation |
Action | The name of the action. This name is shown to the workflow users. |
Approve - Reject | Enter a 1 or 0 here. This determines whether the step is positive (1) or negative (0). Positive means that the step is approved with this choice, negative means that the step is rejected with this choice. |
Stop workflow | This allows you to determine that if this action is performed by a workflow user, the workflow will be aborted in its entirety. |
Leads to | Leads to step wil skip all following steps in between this step and the leads to step. When the leads to step is back in the workflow proces, the chosen actions in the steps in between this step and the leads to step will be erased. |
