You can only complete actions in the Supplier Portal when there is at least one task. Read more about this here.
Fulfilling the audit
Requesting information can consist of the following components: name and address, contacts, products/services, documents and questionnaires. Not every request has each of these parts, it may be that a request consists of one or more of these parts.
All parts present in the audit are shown in tabs:
Data of your organisation
These are all currently registered name and address data in the administration of the requesting party. Check this data and correct it if necessary.
Contacts
These are all contact details and users who may have access to the supplier's Supplier Portal on behalf of your organization. Check all available contacts, and edit/delete them where necessary.
Add a contact
- Click on 'Add'.
- Fill in at least all fields with a blue border.
- Click on 'Add'. The new contact is now in the contact overview.
Edit a contact
- Click on the contact you want to edit.
- Adjust the fields as desired. You cannot clear the fields with a blue border.
- Click on 'Close'. The contact is now updated.
Delete a contact
- Click on the contact you want to remove.
- Check 'Mark to delete'.
- Click on 'Close'. The contact is now marked with a trash can icon in the 'Status' column.
It is possible that the organization has made certain contact types mandatory to fill in. Make sure that the required contacts appear in the contact list.
Products
Manage all products / services that your organization offers to the requesting party. Add new products or services, check current products and correct where necessary.
Documents
The requesting party can request a specific number of documents via the document overview. It is possible that a template is supplied that will have to be filled in. Download this template, enter it and then upload it via the blue 'Upload' button.
If no template is supplied, upload your own file via the 'Upload' button. In addition, there is room for adding a comment or adding a valid through date for your document.
Commodities
The requesting party divides its suppliers into (purchasing) commodities. All currently linked commodities are displayed. Check this, correct where necessary, and possibly link a new commodity.
Questionnaires
The requesting party can request all kinds of information from the Supplier Portal user via a questionnaire. For example the assessment of a collaboration, products or projects. Click on a questionnaire to open it.
Risk Assessment
The requesting party has sent you a Risk Assessment questionnaire. Fill in this questionnaire. On the basis of this questionnaire, they make an internal assessment of possible risks.
Submitting the audit
Once you have supplied all the required information, it is time to send the request. It is important to know that the inquiry is closed when you send it. From that moment you can therefore no longer make adjustments. Check if you have uploaded all the documentation and entered all the information.
If you want to complete and send the request, click on 'Send to customer'.
The applicant has now successfully received the documentation and information uploaded by you, and will review and process the information provided.
